Tse Ka Yan Chinese Medicine Clinic specializes in treating orthopedic and general health problems. However, with a large volume of daily appointments, their manual appointment booking system, through phone calls or on-site visits, was the least efficient option.

They spent a significant amount of time on scheduling appointments, which reduced the overall efficiency of the clinic's operations and resulted in longer waiting times for patients.

To address these issues, Tse Ka Yan Chinese Medicine Clinic decided to use an online booking service that streamlines the appointment booking process, to reduce the workload of the clinic and minimize patients' waiting times.

They recognized Better Pi's extensive experience in system development and appreciated that our design approach aligned with the clinic's youthful image. As a result, the clinic assigned the development project to us.

User-friendly InterfaceDesign

A clear and user-friendly interface is crucial for efficient appointment booking. The project team recognized that the patients span a wide range of ages, and therefore needed an interface that could be easily used by everyone.

To achieve this, the design team played with colors and illustrations, creating an interface that simplifies the self-service appointment process. It also helps to break away from the traditional, old-fashioned image of Chinese Medicine, adding a touch of happiness to clinic visits. The new mobile app encourages people of all ages to consider Chinese Medicine as a viable remedy.

Real-time Data Enables Accurate Scheduling Data

When handling appointments manually, it is not uncommon to encounter problems such as repeated bookings, missed calls, wrong records, and last-minute rescheduling or cancellations.

The new appointment system is connected to the real-time data of the clinic, allowing users to check available time slots and alter their reservations with the mobile app 24/7. This helps to avoid out-of-sync data confusion and brings accuracy to the schedules of both the clinic and the patients.

The system allows for advanced settings, such as appointment lengths, morning and afternoon consultation time slots, and closing dates, to be easily configured.

A special feature of the mobile app is the ability to display temporarily vacated consultation time slots, allowing patients to move their appointments to an earlier time.

User friendly Family Members to Share Accounts

Unlike typical booking systems that require unique accounts for each user, this system allows family members to share accounts, which is particularly useful for patients who are accustomed to seeing the same doctor with their family members.

In addition, the appointment system has been integrated with WhatsApp to provide users with reminders for each appointment, thereby reducing the no-show rate.

The system records the information of family members, making it convenient for users to register for their family members, such as children who do not own mobile phones or elders who are not tech-savvy.

One day before the appointment, the system automatically sends a reminder message via WhatsApp to ensure that users do not forget about their scheduled appointment.

The introduction of the mobile appointment system has resulted in a significant shift towards online reservations, with over 90% of patients now booking their appointments through the app. This has led to a reduction in the workload of the clinic's assistants and has also reduced waiting times for patients.
